Datahikes is a Zoho Consulting Partner headquartered in Chennai, working with Canadian businesses in Canadian mornings and overnight. We set up Zoho Books with GST/HST, provincial taxes and your registrations configured properly, connect payroll and bank feeds, and move you off QuickBooks, Xero or Sage without losing your history.
Every scoping call is taken by a founding member of Datahikes. You will not be routed to a sales development team.

Why a specialist partner
Canadian accounting looks simple until you count the layers: federal GST, harmonised HST in five provinces, separate PST or RST in three, QST in Quebec, payroll source deductions and an accountant who works in QuickBooks or Sage. A partner who has set up Zoho Books for Canadian businesses before saves you weeks of trial and error, and gets your first return right.
GST, HST, PST, RST and QST all exist in Canada, and which one applies depends on where you sell. We set each up correctly so returns match what your accountant expects.
QST is administered by Revenu Québec, may need a separate registration, and Quebec businesses often need French-language documents.
Most Canadian businesses arrive from QuickBooks or Sage. A clean move keeps tax history, classes and reports your accountant knows.
Chennai's working day is Canada's night, so we build while you sleep and review with you at the start of your day.
A Zoho Books partner is an independent company, separate from Zoho Corporation, that sets up and supports the software around your business. We start with your registrations, provinces and how you invoice, then configure Zoho Books to match and document why each choice was made. For how country editions work across the USA, UK, Europe, the UAE, Australia and India, see our Zoho Books partner overview.
Canadian compliance
This is the checklist we work through on every Canadian project: what the rule is, and how we set Zoho Books up to handle it.
| Requirement | What it means | How Zoho Books and we handle it |
|---|---|---|
| GST/HST registration | Registration is generally required once worldwide taxable revenue passes C$30,000 over four consecutive calendar quarters, or in a single quarter. Below that you are a small supplier. | Registration number, date and jurisdiction entered, and GST/HST return settings configured for your reporting period. |
| Provincial taxes and place of supply | GST is federal, HST applies in five provinces, PST or RST in three, and QST in Quebec. Place-of-supply rules decide which applies to each sale. | Tax rates, tax groups for GST plus PST provinces, tax agencies and sales tax automation by customer province, with an exception report for transactions needing review. |
| GST/HST returns | A return is prepared for each period, using the lines of the CRA form. | Return generated from your tax transactions, with adjustments, filing status and payment recorded, and a review routine for your accountant. |
| Quebec QST | QST is administered by Revenu Québec and may need a separate registration. Businesses can file a combined GST/HST and QST return. | QST settings and returns configured, with a combined GST/HST and QST return where it applies. |
| BC PST, Saskatchewan PST and Manitoba RST | These provinces have their own registration and returns, separate from GST. | Provincial returns configured for BC PST, Saskatchewan PST and Manitoba RST, reconciled to your ledger. |
| Input tax credits | GST/HST paid on business purchases is generally recoverable, and QST has input tax refunds. | Purchases coded to the right tax treatment, so credits are claimed correctly and reconcile to returns. |
| Payroll source deductions | Employers withhold and remit income tax, CPP or QPP and EI, and issue year-end slips. | Payroll runs in your payroll provider. We connect its journals and map wages and remittances so balances reconcile each pay run. |
| Multi-currency | Many Canadian businesses invoice and pay in CAD and USD, and need exchange differences booked cleanly. | Foreign-currency invoices and receipts with exchange gains and losses booked to the right accounts, subject to your plan. |
| French-language documents | Businesses in Quebec often need invoices and customer communications in French. | French templates set up where the edition supports them, and requirements confirmed with your adviser. |
| Record keeping | Business records must be kept for a set period, commonly six years, and produced on request. Your accountant confirms the period. | Documents attached to transactions, user roles and change history, and export packs ready for an audit or review. |
| System | Where | Typical rates |
|---|---|---|
| GST only | Alberta, Yukon, Northwest Territories, Nunavut | 5% GST, no provincial sales tax |
| HST | Ontario, Nova Scotia, New Brunswick, Newfoundland and Labrador, Prince Edward Island | 13% in Ontario, 14% in Nova Scotia, 15% in the other three |
| GST plus PST or RST | British Columbia, Saskatchewan, Manitoba | 5% GST plus 7% PST in BC, 6% PST in Saskatchewan, 7% RST in Manitoba |
| GST plus QST | Quebec | 5% GST plus 9.975% QST, administered by Revenu Québec |
Rules change, so we confirm rather than assume. This table describes the position at the time of writing. Provincial rates have changed before, so at kickoff we check the current rates, thresholds and deadlines with you and your accountant, and we do not hard-code them without confirming them first.

Where we support
Canada is not one market. A consultancy in Toronto, a studio in Montreal and a contractor in Calgary charge different taxes, file different returns and often answer to different tax authorities, so we set Zoho Books up around your province, your industry and your accountant's way of working.
| Province or region | Typical businesses | How we help |
|---|---|---|
| Ontario | Toronto, Ottawa, Mississauga and Hamilton: professional services, technology, manufacturing and retail | 13% HST set up correctly, multi-entity books and a clean move from QuickBooks or Sage. |
| Quebec | Montreal and Quebec City: technology, creative, manufacturing and SMEs | GST and QST with a combined return, French-language templates and separate Revenu Québec registration. |
| British Columbia | Vancouver and Victoria: technology, creative industries, natural resources and tourism | GST plus PST with tax groups, BC PST returns and multi-currency billing. |
| Alberta | Calgary and Edmonton: energy services, construction and agriculture | GST-only simplicity, project and job costing, and progress billing. |
| Saskatchewan and Manitoba | Regina, Saskatoon and Winnipeg: agriculture, trades and distribution | Saskatchewan PST and Manitoba RST returns, inventory and purchase flows. |
| Atlantic Canada | Halifax, Moncton, St. John's and Charlottetown: seafood, tourism and small manufacturing | 15% HST in three provinces and 14% in Nova Scotia, and multi-province sales. |
Chennai is roughly 9.5 to 10.5 hours ahead of Toronto and 12.5 to 13.5 hours ahead of Vancouver, depending on the season. We schedule discovery, setup, training and review sessions in Canadian mornings by screen-share, and the work moves forward overnight, so you review progress at the start of your day. If you would like an in-person session for a larger project, raise it on the scoping call and we will tell you what is possible.
Industries
Each sector invoices, tracks cost and reports profit differently. We configure Zoho Books around how yours actually works.
Time and milestone billing, retainers, expense recharges and project profitability, tied to Zoho CRM.
Job costing, progress billing, holdbacks and subcontractor payments across sites and entities.
Recurring invoices, CAD and USD billing, revenue tracking and management reports for investors.
Store and marketplace orders posted with the right provincial tax, with returns, gateway fees and payouts reconciled.
Raw materials and finished goods, bills of materials where needed, multi-warehouse stock and cost-of-goods reports.
Project and site costing, equipment and vendor payables, and multi-entity reporting.
Seasonal cash flow, inventory and purchase flows, and lot or field-level costing where needed.
Practitioner and location reporting, package billing and a clear split of taxable and exempt supplies.
Do not see your industry? Book a call. Zoho Books is flexible enough that most sectors are a matter of configuration, not compromise.
Migration
Migration is where most accounting projects succeed or fail. Moving data is easy. Moving it so that your tax history and reports still agree with last year's is the real work, so we treat migration as an accounting exercise first and a technical one second.
| Coming from | What usually needs care | How we handle it |
|---|---|---|
| QuickBooks | Classes and locations, tax codes by province, item structures and vendor records | Export in stages, map classes to tags or branches, rebuild provincial tax codes and confirm vendor records. |
| Xero | Tracking categories, tax rates, bank feed connections and repeating invoices | Map tracking to reporting tags, carry tax treatment across, reconnect feeds and recreate recurring documents. |
| Sage 50 and Sage Accounting | Account structures, tax codes, inventory records and customer and supplier balances | Map accounts to a clean chart, match tax treatment, and reconcile ledgers and stock to your trial balance. |
| FreshBooks, spreadsheets and other tools | Inconsistent formats, duplicate contacts and missing tax details | Clean and standardise first, then import in validated batches. |
The best time to switch. Cut over at the start of a GST/HST reporting period or a new fiscal year, and avoid the days around a filing deadline. A clean start date makes tax reconciliation easy, and we plan the timeline backwards from it.
We never migrate blind. Every migration includes a data-quality review before import, a reconciliation of totals afterwards, sign-off from you or your accountant, a rollback plan and, where the stakes are high, a parallel closing period so both systems produce the same numbers before the old one is retired.
Comparison
Most Canadian buyers arrive with QuickBooks or Sage on their shortlist, often because their accountant uses one. We are a Zoho partner, so we favour Zoho Books, but we say where another tool genuinely fits better, because a wrong-fit purchase helps nobody.
| Product | Where it is strong | Where Zoho Books is stronger | Where it may fit better |
|---|---|---|---|
| QuickBooks Online Canada | Large user base, widely known by Canadian accountants, and payroll options. | Lower entry cost, deeper automation, and a native CRM and inventory link. | Your accountant is standardised on QuickBooks. |
| Xero | Unlimited users, strong bank feeds and a growing Canadian accountant network. | A free tier, an integrated suite, and GST/HST and provincial tax flexibility with workflows. | Accountant-led, multi-user teams. |
| Sage 50 and Sage Accounting | Long-standing Canadian presence, popular with established finance teams. | Cloud-first, simpler rollout and better integrations. | Established teams already on Sage 50. |
| FreshBooks | Canadian-founded, with simple invoicing for freelancers and small service firms. | Inventory, multi-currency depth, purchase workflows and scalable reporting. | Solo service providers. |
If your accountant insists on one tool, that can outweigh everything else, and we will tell you so. You do not have to choose overnight: many businesses run both systems side by side for a closing cycle. Plan prices and free-plan terms change and differ by edition, so we do not print them here. Check the current Zoho Books Canada plan page, and we will help you choose on a scoping call.
Integrations
Accounting stops being a chore when data arrives on its own. Zoho Books connects natively to the wider Zoho ecosystem and to the payroll tools, banks and stores Canadian businesses already use.
| Integration | What it does for you |
|---|---|
| Zoho CRM | Won deals become customers, quotes and tax invoices without re-typing, and payment status shows inside the CRM record. |
| Zoho Inventory | Stock, purchase orders and sales orders stay in step with your books, across warehouses and provinces. |
| Payroll provider | Your payroll provider's journals flow into Zoho Books, mapped to wage, remittance and liability accounts, so payroll reconciles each pay run. |
| Zoho Expense | Employee claims and card spend arrive coded, approved and ready to reconcile. |
| Payment gateways | Stripe, PayPal and other supported gateways, with payment links on invoices and automatic reconciliation. |
| Banks | Bank and card feeds where supported, with rules that categorise repeat transactions. |
| Online stores | Shopify, WooCommerce, Amazon and Magento orders, refunds and fees posted with the right provincial tax. |
| Zoho Analytics | Entity-wise and province-wise dashboards, cash flow views and management reports beyond the standard reports. |
If a standard connector does not fit, we build the link with Deluge, Zoho Flow, Zoho Creator and the Zoho APIs, then document and hand it over so it never depends on one developer's memory. That includes a custom link to a payroll provider or a niche industry system.
Process
Every engagement follows the same seven steps, so you always know where you are, what happens next and what we need from you.
We learn your registrations, provinces, current tools, payroll setup, team and pain points, and send a short written summary so mistakes are caught on day one.
We recommend the structure, plan and integrations, then agree scope, timeline and price in writing before any work starts.
Organisation, tax registrations and rates, chart of accounts, users, roles, templates and numbering, built for your provinces.
Contacts, opening balances, open invoices and bills and agreed history, cleaned before import and reconciled to your trial balance afterwards.
Banks, payroll, gateways, CRM, inventory and workflows connected and tested with realistic transactions.
Role-based training in Canadian mornings and, for migrations, a parallel closing cycle so your accountant can compare old and new numbers.
A cut-over plan aligned to a reporting period or fiscal year, hyper-care in the first weeks, and a handover with documentation.
Timelines depend on scope, so treat these as typical ranges. We confirm a firm timeline after a scoping call.
| Scope | Typical duration |
|---|---|
| Single entity, one province, no migration | 2 to 4 weeks |
| Single entity with migration from QuickBooks, Xero, Sage or spreadsheets | 4 to 8 weeks |
| Integrations with CRM, inventory, payroll or online stores | Adds 1 to 4 weeks, depending on how many |
| Several provinces or provincial registrations, or several entities | 6 to 12 weeks, often phased by entity |
| Multi-country rollout | 8 to 12 weeks or more, often phased by entity |
The more responsive your team is in the first two weeks, the faster everything else moves. We ask for one decision-maker, access to your current data, your registration details and a few short review sessions.
Cost
Every project is different, so we quote after a scoping call instead of publishing a price that fits nobody. Here is what moves the number.
The number of legal entities and provincial tax registrations is the biggest driver, because each needs its own setup and testing.
A clean current-year import is small. Several years of history from a legacy tool with messy contacts takes longer.
Each connection to CRM, inventory, payroll, gateways, banks or a store adds design, build and testing time.
Custom reports, automations and the number of people we train all change the effort.
| Model | How it works | Best when |
|---|---|---|
| Fixed scope | Agreed deliverables for an agreed price, often after a short paid discovery. | Requirements are clear and stable. |
| Collaborative sprints | Work delivered in short cycles with regular reviews, priced by estimate or capped hours. | Requirements will evolve as you see the system. |
| Retainer or hours bucket | A monthly block of support and improvement hours. | You want ongoing help after go-live. |
A single-entity setup with light migration is a small project. A multi-province rollout with several integrations is larger. Either way you get scope, assumptions and what triggers extra charges in writing before work begins.
Tell us your entities, provinces, tools and team size, and we will send a written scope and quote.
Choosing a partner
A partner shapes how your finance team works for years, so the choice deserves more than a price comparison. This is the checklist we would use if we were buying.
Zoho groups partners into tiers (Authorized, Advanced and Premium) based on factors such as certifications, tenure, customers and verified reviews. Tier is a helpful signal but not a quality score. A smaller partner that has set up Zoho Books for Canadian businesses many times can serve you better than a larger one that has not. Focus on relevant experience, communication and references.
Book a scoping call and ask all eight.
Why Datahikes
Datahikes is a Zoho Consulting Partner headquartered in Chennai. Our background spans finance operations, data analytics, project management and digital systems, so we treat Zoho Books as a business process to design, not a form to fill in.
We configure your registrations, provincial taxes and return settings before anything else, so your first return matches what your accountant expects.
We also implement Zoho CRM, Desk, Creator, Inventory, People and Zoho One, so Books is designed alongside the rest, not patched on later.
When a standard connector does not fit, we write the function. Deluge, Zoho Flow, Zoho Creator and API work are part of every week.
You receive configuration notes and walkthroughs, so you understand why things were built as they were and can extend them.
If Zoho Books is not the right answer for a requirement, or your accountant needs another tool, we tell you before you sign, not after.
Sessions in Canadian mornings, work moving overnight, and a named contact from scoping to support.
A founding member takes every scoping call, so you speak to the people who shape the work.
FAQ
Straight answers on GST/HST, provincial taxes, Quebec, migration, timelines and cost. Still have a question? Send it through the form below.
A Zoho Books partner is an independent company, separate from Zoho Corporation, that sets up, migrates, integrates and supports Zoho Books. In Canada that means configuring GST/HST and provincial taxes, connecting payroll and bank feeds, moving data from QuickBooks, Xero or Sage, and supporting your team remotely in Canadian mornings.
Check the official Zoho partner directory, and ask for experience with GST/HST, provincial taxes and migration from QuickBooks or Sage specifically. Ask who does the work, what gets documented and what support follows go-live. How quickly and clearly a partner replies before you sign is a good preview of the service afterwards.
Yes. The Canada edition supports GST/HST returns, BC PST, Saskatchewan PST, Manitoba RST and QST returns, with tax groups for GST plus PST provinces and a combined GST/HST and QST return for Quebec. We configure your registrations and confirm the setup with your accountant.
You generally must register once your worldwide taxable revenue passes C$30,000 over four consecutive calendar quarters, or in a single quarter. Below that you are a small supplier and registration is optional. Your accountant confirms your position, and we set up your registration number and return settings once you are registered.
Which tax applies depends on the place of supply, for example 13% HST in Ontario, GST plus PST in British Columbia, or GST plus QST in Quebec. Zoho Books can apply taxes automatically from your customer's province, with tax groups and an exception report for transactions that need review.
Yes for QST: Zoho Books generates QST returns based on Revenu Québec's return lines and a combined GST/HST and QST return. Businesses in Quebec often need documents in French, so we set up French-language templates where the edition supports them and confirm requirements with your adviser.
Zoho Books prepares the return from your tax transactions using the lines of the CRA form, lets you record adjustments, mark it as filed and record the payment. Filing itself happens with the CRA, through your accountant or your own account. We set up the report and a review routine.
Payroll, source deductions and year-end slips run in your payroll provider. We connect that provider's journals to Zoho Books, map wages, CPP or QPP, EI and income tax withholdings to the right accounts, and set up reports so your accountant can reconcile the balances each pay run.
Yes. We map your chart of accounts, tax codes and tracking, import contacts, opening balances, open invoices and bills and the history you choose, and reconcile the result to your trial balance. A parallel closing period lets your accountant sign off before you switch.
The cleanest moment is the start of a GST/HST reporting period or a new fiscal year, away from filing deadlines. A clean start date makes opening balances and tax reconciliation simple, and we plan the project timeline backwards from it.
Yes. Many businesses run both for one closing cycle so their accountant can compare the numbers, then move the old system to read-only. We plan the overlap so it is short, deliberate and ends on a clear cut-over date.
Yes. The usual approach is one Zoho Books organisation per legal entity, each with its own registrations, with consolidated reporting through Zoho Analytics. Multi-currency invoicing in CAD and USD is supported, with exchange gains and losses booked cleanly, subject to your plan.
Zoho Books supports bank feeds from many Canadian banks through a feeds provider, and works with gateways such as Stripe and PayPal. Availability varies by bank and plan, so we check the ones you use before we plan the setup.
We are headquartered in Chennai, roughly 9.5 to 10.5 hours ahead of Toronto and 12.5 to 13.5 hours ahead of Vancouver. We schedule sessions in Canadian mornings, our evenings, and work overnight so progress is ready at the start of your day. We support all provinces remotely.
Cost depends on the number of entities and provincial registrations, migration volume, integrations, customisation and training. A single-entity setup with light migration is a small project. We quote after a scoping call, with clear scope and assumptions written down before work begins.
