01Introduction

Datahikes is a Zoho Authorized Partner headquartered in Perungudi, Chennai, delivering Zoho implementation, migration, customisation and support services to businesses in India, the United States, the United Kingdom, the United Arab Emirates and more than twenty other countries. This Privacy Policy explains what personal data we collect when you visit datahikes.com or contact us, why we collect it, how we protect it, how long we keep it and what rights you can exercise over it.

By submitting an enquiry through our website you confirm that you have read and understood this policy. If you do not agree with how we handle personal data, please do not submit an enquiry and instead contact us at jai@datahikes.com to discuss an alternative.

This policy covers only the data Datahikes collects for its own business purposes. Where we work inside a client Zoho environment during a delivery engagement, the client remains the controller of the data held in that environment and their own privacy policy governs it. Our responsibilities in that situation are set out in Section 09.

02Who We Are and How to Reach Us

Datahikes is the controller of the personal data described in this policy. We decide what data is collected, why it is collected and how it is protected. Our registered place of business is 2nd Floor East Wing, RMZ Millenia Business Park, Campus 1A, No. 143, Dr. M.G.R. Road, Perungudi, Chennai 600096, Tamil Nadu, India.

All privacy questions, correction requests, deletion requests and complaints should be sent to jai@datahikes.com with the subject line marked as a privacy request. This address is monitored by our team and also serves as our point of contact for grievances raised under Indian law.

Single point of contact

Every request under this policy, whatever your country of residence, goes to jai@datahikes.com. We aim to acknowledge within five working days and resolve within thirty days.

03What Personal Data We Collect

We keep collection deliberately narrow. The only personal data we gather from you is what you type into the contact form on our website, namely your name, your email address, your phone number and your company name. We do not ask for financial details, identity documents, government identifiers or any category of sensitive personal data through the website.

We do not run advertising pixels, remarketing tags or a cookie consent banner on datahikes.com, and we do not build behavioural profiles of visitors. Any strictly necessary cookies set by our website platform exist only to serve pages correctly and are not used to identify you.

If you send us additional information voluntarily inside the message field or in a follow up email, that information becomes part of your enquiry record and is treated under the same terms as the fields listed above.

04Why We Process Your Data

We process your data for one purpose, which is to respond to the enquiry you submitted and to hold a commercial conversation about whether Datahikes can help you. This covers replying to your message, arranging and holding a call, preparing a scope or proposal where you ask for one, and following up on that conversation within a reasonable period.

We do not use your contact details for unrelated marketing campaigns, we do not add you to newsletters without a separate opt in, and we do not use your data to train automated decision making or profiling systems. No decision producing a legal or similarly significant effect on you is made about you by automated means.

05Legal Basis for Processing

Under the Digital Personal Data Protection Act 2023 in India we rely on your consent, which you give by voluntarily completing and submitting the contact form after reading this notice. Under the UK and European General Data Protection Regulation, where it applies to you as a resident of those regions, we rely on legitimate interests for responding to a business enquiry you initiated, and on steps taken at your request prior to entering into a contract.

Residents of the United States are covered by the same commitments set out in this policy. We do not sell personal information and we do not share it for cross context behavioural advertising, so no opt out of sale is required. Residents of the United Arab Emirates and other jurisdictions receive equivalent protection under the practices described here.

Consent can be withdrawn at any time

Write to jai@datahikes.com and we will stop processing your data and delete the enquiry record, unless a live contractual or legal obligation requires us to retain it. Withdrawal does not affect processing already carried out lawfully.

06Where Your Data Is Stored

Enquiry data is stored in Zoho CRM, which is our sole system of record for prospect and client contact information. Our Zoho account is provisioned on Zoho data centres located within India, so your personal data resides on Indian infrastructure and is not transferred out of the country by Datahikes.

Zoho Corporation acts as our processor for this data. Zoho does not own your data, does not sell it and processes it only to provide the software service to us under its own contractual and security commitments. No other vendor, agency, reseller or marketing platform receives your enquiry data.

If you are contacting us from the United Kingdom, the European Economic Area, the United States or the United Arab Emirates, please note that your data will be held in India. We treat that data to the standards described in this policy regardless of where you are located, and we will put appropriate transfer safeguards in place if any future change to our infrastructure makes them necessary.

07Who Has Access

Access is limited to the Datahikes team members who need it to respond to your enquiry, principally our consulting and delivery leadership. Access to Zoho CRM is controlled by named user accounts with role based permissions, and we do not operate shared logins.

We do not sell, rent, trade or otherwise disclose your personal data to third parties for their own purposes. The only circumstances in which we would disclose data outside Datahikes are where a court, regulator or law enforcement authority with proper jurisdiction lawfully compels us to, or where disclosure is necessary to establish or defend a legal claim. Where we are permitted to notify you of such a request, we will.

08How Long We Keep It

We retain enquiry data for ninety days from the date you submit it. At the end of that period the record is deleted from Zoho CRM if the enquiry has not progressed into a commercial engagement.

Where an enquiry does progress and you become a client, your contact details move into the client record and are retained for the duration of the engagement and for the period afterwards required by Indian tax, accounting and contract law. That longer retention is governed by our client agreement rather than by this section.

09Client Data Handled During Delivery

During a Zoho implementation, migration or support engagement our consultants may access personal data belonging to our client and to that client's own customers or employees. In that context Datahikes is a processor acting on documented instructions from the client, who remains the controller.

We access such data only to the extent needed to perform the agreed scope of work, we do not copy it out of the client environment except where a migration explicitly requires it, we do not use it for any purpose of our own, and we return or delete any working copies at the end of the engagement. Confidentiality, security and data handling obligations for these engagements are set out in the signed agreement with each client.

We never route client data through unrelated systems

Migration work is performed within the client tenancy or within a controlled workspace agreed in writing with the client. Client records are not stored in the Datahikes CRM.

10How We Protect Your Data

Personal data is protected by the encryption, access control and monitoring capabilities of the Zoho platform, including encryption of data in transit and at rest. On our side we enforce individual named accounts, role based access, strong authentication and prompt revocation of access when a team member changes role or leaves.

Our website is served over an encrypted connection so that data submitted through the contact form is protected while it travels to us. We review access rights periodically and keep the number of people who can see enquiry data as small as the work allows.

No system can be guaranteed to be completely secure. If a personal data breach occurs that is likely to result in risk to you, we will notify you and the relevant supervisory authority within the timeframes required by applicable law, including the reporting requirements of the Digital Personal Data Protection Act and, where relevant, the seventy two hour requirement under the General Data Protection Regulation.

11Your Rights

You have the right to ask us what personal data we hold about you and to receive a copy of it. You have the right to have inaccurate or incomplete data corrected, and the right to ask us to erase your data. You may withdraw consent at any time and you may object to or ask us to restrict our processing. Where the law gives you a right to receive your data in a portable format, we will provide it in a commonly used machine readable form.

Access Ask what we hold about you and receive a copy of it.
Correction Have inaccurate or incomplete details put right.
Erasure Ask us to delete your enquiry record entirely.
Withdraw consent Stop further processing at any point, in writing.
Object or restrict Limit how we use the data we already hold.
Portability Receive your data in a commonly used machine readable form.

You may also nominate another person to exercise these rights on your behalf in the event of your death or incapacity, as provided under Indian law. Exercising any of these rights is free of charge and will never result in less favourable treatment from us.

To make a request, email jai@datahikes.com describing what you want and the email address or phone number you originally provided so that we can locate your record. We may ask a small number of questions to confirm your identity before acting, which protects you from someone else making a request in your name.

Response commitment

We acknowledge requests within five working days and complete them within thirty days. If a request is unusually complex we will tell you why and give you a revised date.

12Complaints

If you are unhappy with how we have handled your personal data, please raise it with us first at jai@datahikes.com so that we have the opportunity to put it right. Our grievance contact for the purposes of Indian data protection law is reachable at the same address.

If you remain dissatisfied you may complain to the Data Protection Board of India. Residents of the United Kingdom may complain to the Information Commissioner's Office, and residents of the European Economic Area may complain to the supervisory authority in their country of residence. Residents of other jurisdictions may approach their local data protection or consumer protection authority.

13Children

Our services are directed at businesses and not at individuals under the age of eighteen. We do not knowingly collect personal data from children. If you believe that a child has submitted personal data through our website, contact us at jai@datahikes.com and we will delete the record promptly.

14Third Party Links

Our website may link to Zoho product pages, partner directories and other external resources. Those sites are operated independently and their own privacy policies apply once you leave datahikes.com. We are not responsible for the content or the data practices of any site we link to, and we encourage you to read the privacy notice of any site before providing information to it.

15Changes to This Policy

We may update this policy to reflect changes in our services, our systems or the law. The effective date shown at the top of this page tells you when the current version took effect, and the version number increases with each substantive revision. The latest version is always published on datahikes.com.

Where a change materially affects how we handle data you have already given us, we will contact you at the email address we hold before the change takes effect, so that you can withdraw consent if you prefer.
