A Singapore-native platform such as Talenox, Payboy, QuickHR or your existing provider handles CPF computation, submission, itemised payslips and IRAS AIS filing. For employers who want everything inside Zoho, we build Singapore-specific salary computation as a custom application in Zoho Creator using Deluge, drawing data from Zoho People and posting journal entries into Zoho Books. One vendor, one login, and it accommodates unusual pay structures. It is a larger build with an ongoing maintenance commitment, since contribution rates and thresholds change. We recommend it only where the requirement genuinely justifies it.
If you already use an outsourced payroll bureau and are happy with them, you do not need to move. We keep the bureau and remove the manual handoff, generating their required input file directly from Zoho People on a schedule, with validation rules that catch missing bank details, unapproved leave and incomplete new joiner records before the file is sent.
IRAS Auto-Inclusion Scheme submissions require IR8A data that Zoho People can source but not file directly. Tax clearance for a departing foreign employee is time-bound and easy to miss when an exit is handled informally. Zoho People is deeper on the HR side and effectively unlimited on customisation through Deluge and Zoho Creator, which is why the architecture we recommend most often pairs Zoho People with one of these platforms rather than choosing between them.
Against Darwinbox, BIPO, Employment Hero, BambooHR, SAP SuccessFactors and Workday, the comparison is about cost, implementation weight and how much of the product you will actually use. Enterprise suites bring genuine capability and genuine overhead: long implementations, specialist administrators, licence commitments and change requests through a vendor queue. For a Singapore company under roughly five hundred employees, that overhead is usually the largest hidden cost of the decision. Zoho People delivers the functional core at a fraction of the licence cost, goes live in weeks rather than quarters, and can be changed by your own trained administrator on a Tuesday afternoon.
Spreadsheets are free until they are not. The real cost is the HR executive spending several days a month on reconciliation, leave balance disputes with no defensible record, and the compliance exposure of employee personal data sitting in unsecured files. For most Singapore employers the crossover point arrives somewhere between twenty and forty employees, and it arrives suddenly rather than gradually.
We would rather lose a deal than sell you the wrong platform. Zoho People is not the right choice if you need in-product Singapore payroll with no integration layer at all, if you are a regulated financial institution with data residency requirements that Zoho's available data centres cannot meet, if you require deeply specialised functionality such as complex union or collective agreement administration, or if you have fewer than about fifteen employees and no growth plan, in which case a spreadsheet and a payroll bureau are genuinely adequate. If you have fewer than about fifty employees, straightforward leave rules and no attendance devices, you can do this yourself. Here is the actual sequence, published because a company that can self-serve should self-serve.
Pick a cutoff date and stop editing the old system from that point. Export employees, leave balances as at the cutoff, and at least twelve months of attendance history, to CSV rather than PDF. Under the Personal Data Protection Act, your data is yours to request in writing if the current system will not export.
Employee ID must be unique with no blanks. Email address must be unique and valid, since it is the login identity. Reporting manager must reference an employee ID that exists in the same file, with every circular reporting line resolved. Date of joining must be in one consistent format across every row. Fixing these four removes roughly eighty percent of migration failures.
Set time zone to Singapore Standard Time, currency to SGD, date format to your convention, and the holiday calendar to Singapore public holidays for the current year. Create locations, departments and designations before importing anyone, since employee records reference them.
Create each entitlement as a separate leave type: annual leave with service-based accrual, outpatient sick leave, hospitalisation leave, maternity, paternity, shared parental, childcare, unpaid infant care, and any company-specific leave. Set accrual frequency, eligibility, carry-forward and encashment rules on each before importing balances.
Order is not negotiable. Active employees first, then reporting structure, then leave balances, then attendance history. Test with ten records first, check every field, then run the full file.
Check headcount, department allocation, joining dates and leave balances against your most recent payroll register. Investigate every variance rather than adjusting it; it is almost always a data problem you will meet again at year end.
Run both systems for one complete cycle and compare at month end. This is the step people skip and the one that catches errors before they reach a payslip. One month of duplicated effort is a very cheap insurance premium.
Under fifty employees, one entity, one country, uniform leave rules, no attendance hardware, no payroll integration, and an HR person with a fortnight of capacity. Follow the steps above and you will get there. Zoho's own documentation and support are good, and you do not need us for this.
